A 25-minute quote that turns into 40 is how you lose the table

At 7:42 on Saturday, Jules is at the stand with a line of walk-ins and a floorplan that is lying to her. Two fours on the waitlist were quoted 25 minutes. The only open four is table 12, and table 12 still has dessert. The couple at the high-top asked if they could sit anywhere. Anywhere is not a dining table, and 25 minutes is not what the floor can keep.

A waitlist by text is not a stack of phone numbers. It is a quoted wait you can actually deliver, then one message when the table is reset, for the party size you wrote down, in the language they used at the door. If they already sat at the bar, or the party grew from four to six, that text has to stop.

OpenTable, Resy, and Yelp Waitlist will all fire a table-ready SMS once someone at the stand taps it. The host still has to be free to tap. The quote still has to be honest. The table still has to match the party.

Quoted wait is a promise

Guests do not remember that you were in the weeds. They remember the number you said. A quoted wait of 25 minutes that becomes 40 loses the party. A quoted wait of 40 that becomes 30 keeps them. Accurate waits matter more than short ones. A guest told twenty who waits twenty is fine. A guest told fifteen who waits twenty-two is not, even though they waited only two minutes longer.

Quote by table type and party size, not by "the wait." Count the parties ahead who need the same size table. Divide by how many of those tables you actually have. Multiply by the turn time you run for that size on this daypart, then pad five to ten minutes in the guest's favor. If four pairs are ahead, you have ten two-tops, and the two-top turn is fifty-two minutes, you are looking at roughly twenty minutes before you pad. Saying fifteen because it sounds friendlier spends the trust you needed for the rest of the night.

OpenTable's online waitlist does not show your quoted minutes. Guests who join from the app see how many parties are ahead, and of what size. The in-house quote still comes out of the host's mouth, or out of the first SMS when they join. Measure last Saturday. If your fours were quoted 25 and sat at 48, stop quoting 25. The waitlist text cannot be more honest than the floor.

Party size decides the table

A four is not two twos stacked on one four-top. A six is not a four with two extra chairs unless the floorplan can actually take it. When Jules takes a name, she is taking a party size, a table type, and a phone. If the Parks are a four who asked for a dining table, they do not get the first high-top that opens. If the Walshes are a two, they do not jump a four just because a four-top went dark.

Write the yield rule so the stand does not invent it mid-service. A two-top walk-in can take a two while a waitlisted four waits for a four. That is matching covers to the floorplan. What you do not do is promise the four that the two-top should be fine, then run a deuce into a four-top while a four is still on the list.

Yelp Waitlist lets guests pick a seating preference and join as seven or more. OpenTable lets you set which party sizes can join the online waitlist, often one through six unless you change it. Resy will not add a waitlist guest without a phone number, because the whole point is the text. If you cannot combine for six, do not let six join the list.

A high-top is not a dining table

Bar wait is not dining-room wait. High-tops turn on drinks and a shorter plate. Dining tables turn on courses. If you quote the dining-room wait to a couple who will sit at the bar, you will watch them walk while a high-top sits empty. If you quote the bar wait to a four who will not sit at the bar, you will text that the table is ready and then not have a table.

Tag the list three ways: dining table by party size, high-top or bar, and patio when you are running it. A party can move from the dining wait to a high-top if they ask. Once they sit there and start a check, they have sat. Texting a ready message to a party already producing at the bar pulls a paying check off a seat to reset a four-top you then cannot fill.

Patio has its own weather, server coverage, and heaters. A patio quote is not an indoor quote. If it starts to rain, you do not silently move them onto an indoor four that belongs to someone else. You tell them, you re-quote, and you stop if the only indoor four is already promised.

What OpenTable, Resy, and Yelp already send

You probably already pay for one of these. Use it for what it owns.

OpenTable's waitlist lives on the floorplan. When the table is ready, the host opens the reservation card and taps Message guest table is ready. Staff can re-notify up to three times. The guest replies 1 if they are on the way, or 9 to cancel and come off the list. Online waitlist parties sit in the same list as in-house names. Guest SMS messaging has to be switched on, or none of this fires.

Resy is the same job with different buttons. Add party size, quote time, and a phone, then set status to table ready. The automated SMS says they will hold it ten minutes; reply 1 to confirm or 9 to drop. Resy Notify is a different list, a future waitlist for a date and time range, useful when a reservation later falls off and the wrong tool for the walk-in in front of you.

Yelp Waitlist, inside Guest Manager, will send an Almost Ready text so the party can start walking back, then a ready text. Two-way SMS, seating preference, large parties. If your actual wait is twenty-five minutes and the guest is around the corner, Almost Ready at minute twenty is more honest than a single ready text they cannot physically make.

None of these tools quote for you if the host is guessing. None of them know, on their own, that the Parks already sat at the bar, or that they walked in with two extra cousins. The host still has to see the floor.

One text when the table is actually ready

"Actually ready" means the previous party has paid, the table is reset, and the covers match. It does not mean dessert is still there and you are optimistic, and it does not mean the quote clock hit zero.

Send one ready text to the first party that fits that table. Hold it for a window you named before service, usually eight to ten minutes, matching what Resy already tells the guest. If they are on the way, the hold is real. If they cannot make it, they come off. If they do not reply, they are a waitlist no-show. Do not hold a turned four-top for a ghost while the next four is twelve minutes past their quote.

Do not blast the list. Two yeses for one table is a stacked door. The next fit stays queued until the first party declines, times out, or is marked gone. A second ping is the re-notify OpenTable already caps at three, or a short still-holding note from a person. It is not a second offer of the same table while the first is still inside the hold.

Stop if they already sat or the party grew

Two stops kill more covers than a missed text.

The Parks already sat. They took a high-top at minute ten because the kids were melting down. Marisol has a check open. At minute twenty-eight the dining four resets. If the ready text still goes out, they will get up, you will lose the bar covers you already had, and you may not seat the four before the next wave. Kill the dining hold the moment they sit at the bar, or the moment they say they want to stay there.

The party grew from four to six on arrival. The four-top you held does not fit. Do not squeeze six into a four because you already texted, and do not combine two tables if the section cannot take it. Tell them the table you held is a four, a six is a different wait, here is the new quote, or here is the bar if two of you will split. If they want to stay a six, they go back on the list as a six.

A complaint about the wait, a deposit argument, a regular who is always a hold, private dining, a party of ten, an allergen the kitchen has not mapped: those threads go to a person. The waitlist text is for a table that is actually open.

Language at the door

The first sentence Jules says is the language of the thread. If the Reyes party asked for a table in Spanish, the join text, the Almost Ready text if you use one, and the ready text stay in Spanish. An English-only ready message is a table that dies on the sidewalk. The stand already works two languages on a Saturday, and the SMS has to match.

Write the door script in both languages you already speak, including the quote. "Twenty-five minutes for a four, dining table, we will text when it is reset" is a different sentence from "the wait is twenty-five." Guests who can wait off-site will, if they trust the text. Guests who were not told they would be texted will hover in the doorway and make the next quote worse. If a third language shows up only as a greeting, do not pretend the SMS can run it.

Run it this week

You need last Saturday's numbers and a rule the stand can say out loud, not a new reservation system.

1. Pull last Saturday. For each waitlist party that sat, write quoted wait, actual wait, party size, and table type. If you do not have actuals, start tonight: the host writes the quote on the ticket and the seat time next to it.
2. Split the list by dining table, high-top, and patio. Stop quoting one number for the whole room.
3. Name the hold. Eight or ten minutes after the ready text. After that, the party is a waitlist no-show and the next fit gets the table.
4. Write the two stops. If they sit at the bar, kill the dining hold. If the party grows, do not seat them on the table you held. Re-quote.
5. Match language. The first SMS and the ready SMS use the language they used at the door.
6. Watch one busy service without leaving the floor for the phone. If Jules cannot fire the ready text because she is walking a four, that is the gap.

If the paper list is already perfect and the host is free, you may not need another layer. If the list dies the moment Jules leaves the stand, keep the book you already run and look at the overflow around it.

Where the agent sits
